PORRITT INC (“Porritt”, “we”, “us”, “our”) respects your privacy. This policy explains how we collect, use, store, and disclose information when you use porrittinc.com, NORMEX Standards AI, or any other Porritt product or service (“Services”).

1. Information We Collect

1.1 Information you provide. When you contact us, request a demo, or purchase a Service, we collect: name, work email, organization name, role, billing information (for paid Services), and any free-text information you choose to share.

1.2 Information collected automatically. When you use our website or Services, we automatically collect: IP address, browser type and version, operating system, referring URL, pages viewed, and approximate geographic location.

1.3 Information from documents you upload. When you upload standards, process safety information, or other documents into NORMEX Standards AI or related Services, we process the contents of those documents to provide the Service. We do not use your uploaded content to train AI models.

2. How We Use Your Information

We use information to: (a) provide and improve the Services; (b) respond to your inquiries; (c) process transactions; (d) send Service-related communications; (e) comply with legal obligations including federal contracting requirements; (f) detect and prevent fraud or misuse.

3. AI Subprocessors and Models

NORMEX Standards AI uses third-party AI models to generate responses. When deployed inside Microsoft 365 Copilot, model selection is governed by your Microsoft tenant administrator's settings; see Microsoft's published Copilot subprocessor documentation for the current list. Microsoft does not use Microsoft 365 Copilot customer data to train its base AI models.

When NORMEX is run as a Porritt-hosted service (outside Microsoft 365 Copilot), API calls to AI models go through Microsoft Foundry (Azure-hosted Claude) under Microsoft's enterprise data protection terms. We do not train AI models on customer data.

4. Sharing of Information

We share information only as follows: with service providers under written contract who help us operate the Services (cloud hosting, payment processing, AI inference); when required by law, court order, or governmental request including federal compliance obligations under our SAM.gov registration; in connection with a sale of substantially all assets, with notice to affected customers; with your consent.

We do not sell personal information.

5. Data Retention

We retain personal information for as long as needed to provide the Services and meet our legal obligations. You may request deletion at any time by contacting privacy@porrittinc.com. We may retain anonymized usage data indefinitely.

For NORMEX inputs processed in a Microsoft 365 Copilot tenant, your tenant's Microsoft 365 data-handling configuration controls retention; we do not retain a separate copy.

6. Your Rights

Depending on where you live, you may have rights to access, correct, delete, port, or restrict processing of your personal information. EU and UK users have rights under the General Data Protection Regulation (GDPR) and UK GDPR. California users have rights under the CCPA/CPRA. Contact privacy@porrittinc.com to exercise any of these rights.

7. Security

We implement reasonable administrative, technical, and physical safeguards to protect personal information. No system is perfectly secure; we cannot guarantee absolute security. In the event of a data breach affecting your personal information, we will notify you as required by applicable law.

8. International Transfers

Porritt is based in the United States. If you access our Services from outside the US, your information may be transferred to and processed in the US, where data protection laws may differ from your jurisdiction. By using the Services, you consent to such transfers, subject to applicable data transfer mechanisms (Standard Contractual Clauses where required).

9. Children

Our Services are not directed to individuals under 16. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this policy from time to time. The “Last Updated” date above reflects the most recent change. Material changes will be notified via email or website notice.
